Who we are

This website, malvernhillsveterinarypractice.co.uk, is run by Malvern Hills Veterinary Practice Ltd, a company registered in England and Wales (company number 15876768), Unit 7-8 Hanley Workshops, Hanley Swan, Worcestershire, WR8 0DX. We are the "data controller" for the personal information described on this page.

The short version

• This site sets no cookies and uses no trackers. There is no advertising, no social media tracking, and no analytics that can identify you — which is why there is no cookie pop-up.
• The only personal information the website handles is what you type into our two forms (contact, and the registration waiting list) — and it is emailed straight to us, not stored on the website.
• We only use what you send us to reply to you and to manage registration.

The forms

Contact form: your name, email address and message.

Registration waiting-list form: your name, phone number, email address and postal address, and your pets' details (name, species, breed and date of birth).

When you press send, the form is checked for spam and then relayed by email to our practice inbox. The website itself keeps no copy — it simply passes your message to us, like a postbox. The email service that carries it (Resend, below) keeps a delivery record, including your message, for 30 days on its servers in the United States and then deletes it. The email we receive is then held in our practice email system and, if you become a client, your details are entered into our practice records.

Our lawful basis for this is taking steps you have asked us to take (responding to your enquiry, or adding you to the waiting list) and our legitimate interest in running the practice. We keep the emails only as long as we need them for those purposes, in line with our practice record-keeping.

Who helps us run the website

A small number of trusted services process data on our behalf, under contracts that meet UK GDPR requirements:

• Cloudflare, Inc. hosts the website on our own account, protects the forms from spam (its Turnstile check uses no cookies), and keeps short-lived technical logs — such as IP addresses — for security. Cloudflare may also provide us with anonymous, aggregate visitor statistics that use no cookies and cannot identify anyone.
• Resend, Inc. delivers the form emails to our inbox, keeping a copy of each for 30 days before deleting it.
• The Code Abides Ltd, our IT provider, builds and operates the website for us.

Cloudflare and Resend are US companies; transfers of UK data to them are protected by the UK Extension to the EU-US Data Privacy Framework or the UK's approved international data transfer terms.

Links to other sites

Our online booking runs on the Lupa portal (lupapets.com), and we link out to VidiVet, Vets Now, Facebook and others. Those sites have their own privacy policies and may set their own cookies once you are there — this policy covers our website only.

Your records as a client of the practice

Information we hold about you and your pets as a client — appointments, clinical records, invoices — lives in our practice systems, not on this website, and is looked after under our practice policies. Ask us at the practice if you would like to know more, or wish to see the information we hold about you.

Your rights

Under UK data-protection law (the UK GDPR and the Data Protection Act 2018) you have the right to ask for a copy of your personal information, to have it corrected or deleted, to object to or restrict how it is used, and to move it elsewhere. Just get in touch and we will help.
